You don't absolutely have to have our Collections Tools in order to mark a case for a collection agency to pick up via the Judici Collections Web Service- you can technically do this by firing the proper record sheet event code. But that could be a problem because it is not appropriate to refer a case when:
Case is pending
A/R Suspend flag is set to Y to indicate that the defendant is bankrupt
Case is secured (based on the public access flag)
Case has pending bond
Case has already been referred to collections
Case has an outstanding warrant
Case is involved in a J & S restitution relationship
The case is in post-termination proceedings, such as appeal.
Case has current hearing other than collections hearings (hearing type is not 159, 160 or 161)
The due date isn't actually past
There is no balance due
The court wants to provide a "last chance" due notice, which the AO has indicated to be a necessary step in due process.
Manual referral also will not do some other very important things:
Calculate, and add to the A/R, an SA Collections fee, based on the outstanding balance on the case. This is done so that JIMS, Judici and the collection agency will ALL reflect the same balance once the case has been referred.
Remove all future payment schedules, taking the defendant out of your internal collections procedures.
